Ask an experienced organiser how many budgets an event has and the honest answer is rarely "one". There is the budget the client approved. There is the version you are quietly hoping for, with the bigger venue and the better caterer. There is the one you would fall back on if sponsorship falls short. And somewhere there is the version you keep for yourself, with the real numbers.
Multiple budget versions are not a sign of a messy process. They are a sign of an organiser who knows that events do not go to plan and wants to be ready when they don't. The problem was never having several versions. The problem was keeping them alive.
Why one budget is never enough
A budget is a set of assumptions dressed up as numbers, and the assumptions move. Guest counts shift after the second mailing. The client wants to see what a hybrid stream would cost. The board asks for a version at 80% of the original before they sign off. A venue comes back with a counter-offer, and suddenly the whole picture is different.
An organiser who only has one budget answers every one of those questions by hand, on the spot, usually in a spreadsheet nobody else can read. An organiser with several versions already has the answer: here is the base case, here is the upgrade, here is the cut. Decision-makers can compare like for like, and you can show the cost of a choice rather than argue about it.
Versions also protect you. When a client remembers approving a number that was never in the approved version, having the approved version - untouched, dated, separate from the working one - settles the conversation in seconds.
The part that used to hurt
Here is what made versions expensive to maintain. Say you run three of them: base, premium and low-cost. Your AV supplier sends a revised quote. That single line now needs updating three times, in three places, and if you miss one, your versions quietly drift apart.
Add a new cost - a photographer, extra security, insurance you forgot - and it is the same story. Three versions, three manual entries, three chances to get it slightly different.
That is the friction we have removed.
Linked lines: edit once, update everywhere
From now on, when you add a budget line to an event in the eventplanner.net event software with more than one version, Budgets asks which versions it belongs in. Pick two or more and the line becomes linked: the same line, living in every version you chose. Change the price, supplier, or description in one place, and every linked version updates accordingly.
The revised AV quote becomes one edit. The forgotten insurance line becomes one entry. Your versions stay in step without you having to do anything to keep them there.
Linked lines are marked with a small icon in both the detail view and the budget overview, so you always know which lines are shared and which are local to the version you are looking at. When you edit a linked line, the form tells you which other versions the change will reach. No surprises.
The detail that makes it useful: quantities stay yours
A linked line shares its price, not its quantity. That distinction is deliberate, and it is where the feature earns its place.
Your catering line can be linked across three versions at €48 per head, with the base version planning for 200 guests, the premium version for 300, and the fallback for 150. Negotiate the per-head price down to €45, and all three versions pick it up; the guest counts stay exactly as you set them. The versions remain genuinely different scenarios, built on the same underlying prices.
When a version needs to go its own way
Sometimes a line should stop being shared. The premium version gets a different caterer, or the low-cost version drops the champagne reception entirely. Any linked line can be unlinked, after which it belongs to that version alone, and edits stay local.
Deleting works the same way. Delete a linked line, and Budgets warns you that it will disappear from every version it is linked to, and suggests unlinking first if you only want it gone from one.
