Guest management has become established in the events industry, but when does it actually begin?

With our industry survey, we wanted to find out: how important is this topic in practice, how satisfied are you with your processes, and at what stage do you actually start planning in concrete terms?

The initial interim results paint a clear picture:

94 per cent of respondents see guest management as an integral part of their event planning. Registration, accreditation and check-in are no longer seen merely as a necessity on the day of the event, but are becoming an integral part of events as a strategic element.

There is still room for improvement, however: the average satisfaction rating with their own processes currently stands at 7.2 out of 10.

Things get interesting when we look at the timeline:

61 per cent factor guest management into their planning right from the initial concept phase.

39 per cent only get involved once the event concept is finalised or registration is imminent.

Yet the adjustments needed to ensure a smooth on-site experience are often made months in advance. Whether it’s participant guidance, badge logic, interfaces or check-in capacities: those who integrate these elements early on save themselves stress on the day of the event and can make flexible adjustments.
